Welcome to StaffSync360, an applicant tracking and recruitment CRM platform operated by SLV TECHNOLOGIES PVT. LTD. and our US affiliate SLV TECHNOLOGIES INC (collectively, "we," "us," or "our"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website or use our software-as-a-service (SaaS) platform, applications, and APIs (collectively, the "Service").

By accessing or using our Service, you signify that you have read, understood, and agree to our collection, storage, use, and disclosure of your personal information as described in this Privacy Policy.

2. Information We Collect

2.1 Information You Provide to Us

Account Information: When you register for an account, we collect your name, email address, phone number, company name, and password.

Payment Information: For subscription services, we collect billing details. Note that payment processing is handled by third-party processors and we do not store full credit card numbers on our servers.

Communications: When you contact our support team, participate in surveys, or communicate with us, we collect the contents of those communications.

2.2 Information Processed on Your Behalf (Service Data)

As an ATS and CRM platform, StaffSync360 acts as a "Data Processor" when you upload, submit, or manage candidate information, client details, resumes, and communications (collectively, "Service Data"). You, the Customer, are the "Data Controller" of this information. We only process Service Data in accordance with your documented instructions and our Terms of Service.

2.3 Information We Collect Automatically

Log Data: We automatically collect standard server log data, including IP addresses, browser types, operating systems, and timestamp data.

Usage Data: We track how you interact with our platform (e.g., features used, pages visited, session duration) to improve our Service and user experience.

Cookies & Tracking: We use cookies, web beacons, and similar tracking technologies to analyze trends, administer the website, and track users' movements around the site.

3. How We Use Your Information

We use the information we collect for the following purposes:

• To provide, operate, and maintain our Service.
• To process and complete transactions, and send related information including purchase confirmations and invoices.
• To manage your account and provide customer support.
• To send administrative messages, technical notices, and security alerts.
• To respond to your comments, questions, and requests.
• To develop new products, services, features, and functionalities.
• To monitor and analyze trends, usage, and activities in connection with our Service.
• To investigate and prevent fraudulent transactions, unauthorized access, and other illegal activities.

Note regarding AI Features: If you utilize our AI resume parsing or AI candidate matching features, we process resumes and job descriptions through our proprietary and third-party AI models. We do not use your proprietary Service Data to train our foundation AI models without your explicit, separate consent.

4. Sharing and Disclosure of Information

We do not sell your personal information. We may share information only in the following circumstances:

• Service Providers: We share information with third-party vendors and hosting partners (e.g., AWS, SendGrid) who provide necessary hardware, software, networking, storage, and related technology required to run the Service. These providers are bound by strict confidentiality agreements.
• Legal Compliance: We may disclose information if required to do so by law or in the good faith belief that such action is necessary to comply with a legal obligation, protect and defend our rights or property, or prevent fraud.
• Business Transfers: If we are involved in a merger, acquisition, financing due diligence, reorganization, bankruptcy, or sale of all or a portion of our assets, your information may be transferred as part of that transaction.
• With Your Consent: We may share personal information with third parties when we have your explicit consent to do so.

5. Data Retention and Security

Security: We implement industry-standard organizational, technical, and physical security measures to protect your data from unauthorized access, alteration, disclosure, or destruction. This includes encryption in transit (TLS) and at rest (AES-256).

Retention: We retain your personal information for as long as your account is active or as needed to provide you the Service. Service Data is retained according to your instructions. Upon account termination, we will delete or anonymize your information within 30 days, except where we are required to retain it for legal, tax, or regulatory compliance.

Depending on your location (such as the EEA, UK, or California), you may have certain statutory rights regarding your personal data:
